Capital Area Chapter Officer and Volunteer Position Descriptions
Chapter Coordinator
- Direct and oversee the activities of the CATESOL Capital Area Chapter.
- Facilitate the planning for and execution of at least two Chapter Workshops in a 12-month period.
- With the help of other officers, identify speakers and locations for all events.
- Set the agendas for Capital Area Chapter meetings and chair the meetings.
- Distribute the meeting agendas at least one day before the meetings through email.
- Order/arrange and plan the food and beverages for the meetings.
- Establish procedures for the nomination and election of Capital Area Chapter officers.
- Direct the activities of the chapter in compliance with the Standing Rule on Chapter Organization.
- Write and submit short updates for CATESOL Update notices that go out to the members twice a month through email.
- Submit entries to be published in the CATESOL News four times a year (e.g., articles, lessons, teaching ideas, stories) - solicit entries from members, volunteers, officers and more in the Capital Area Chapter.
- Attend one Board meeting a year and/or the Council of Chapter Coordinators meeting at the annual conference.
- Confer with the Chapter Council Chair as needed.
- Participate in online CATESOL Council Board meetings (4-6 times per year).
- Complete and submit two Chapter Coordinator activity reports each year (mid-year and end-year).
- Assist and support the Capital Area Chapter Coordinator with all of the above.
- Learn the duties of the Capital Area Chapter Coordinator in order to successfully take over and serve as Chapter Coordinator the following year.
- Participate in online CATESOL Council Board meetings.
- Notify main CATESOL contact of all meetings and events to be placed on the master calendar.
- Create the event flyers for distribution.
- Get approval from the Board of Directors for all flyers, announcements, and promotional websites before posting.
- Contact and organize the publishers to attend the events.
- Manage all financial-related activity related to Capital Area Chapter events.
- Prepare financial reports for the Capital Area Chapter meetings.
- Report to the CATESOL Treasurer and to the Chapter Council Chair annually in writing.
- Serve as the registration contact for the chapter events, helping attendees with check-in, payment, and name tags.
- Maintain the Capital Area Chapter website.
- Maintain the Capital Area Chapter social media accounts.
- Check all hyperlinks on the website and other online accounts to verify that they are still active at least twice a year.
- Take photos at all events to post on the website and other online accounts.
- Submit the Capital Area Chapter's event information to the main CATESOL website.
- Record and distribute (to all officers) Capital Area Chapter Chapter meeting minutes within one week after a meeting.
- Manage all communication with Capital Area Chapter Chapter members (e.g., meeting and event notices, Google Group posts, emails, postcards).
- Print name tags for all events.
- Participate in online CATESOL Council Board meetings (4-6 times per year, optional).
- Contact List-serves and other means of online communication with the local universities to promote meetings and events.
- Create any volunteer recruitment flyers for upcoming events.
- Increase student membership, involvement, and attendance at CATESOL chapter, regional and annual conferences.
- Encourage other students to submit material to the CATESOL News and submit articles to the CATESOL Journal.
- Speak at new student orientations and other student forums (such as classrooms) to promote CATESOL.
- Educate other students on the opportunity to become the CATESOL Student Representative for the whole organization, not just their local chapter.
- Volunteers help plan, promote, and implement our two professional development workshops each year.
- Assist with workshops and other events by helping with set-up, tear-down, signs, AV/IT (technical) support, registration, food, and more.
- Can volunteer to help with duties listed in the officer position descriptions above.
All officers must be members of CATESOL.
All positions listed above are served for one year.
